Job Summary

The Support Staff III is responsible for ensuring the smooth daily operations of county offices through cleanliness, basic administrative support, and front-office assistance. This role involves maintaining a sterile and organized work environment while ensuring the safety of office assets and welcoming clients professionally. It is an essential entry-level position that supports the overall productivity of the Tana River County Government departments.

Duties & Responsibilities

  • Carry out thorough office cleanliness including dusting, mopping, and sanitizing workspaces daily.

  • Maintain a neat and organized filing system to ensure easy retrieval of official documents and records.

  • Attend to visitors and clients professionally, providing initial guidance and direction within the office.

  • Ensure the security of office equipment and stationery to prevent loss or unauthorized access.

  • Assist in the movement of files and documents between various departments and offices.

  • Prepare and serve office refreshments for staff and during official meetings as required.

  • Monitor the usage of cleaning supplies and report when restocks are necessary.

  • Ensure all windows, doors, and electrical appliances are properly secured at the close of business.

  • Assist in the basic preparation of meeting rooms and various official event venues.

  • Distribute internal memos and official communication to relevant staff members.

  • Handle basic office equipment such as photocopiers and scanners under supervision.

  • Report any maintenance issues or breakages within the office premises to the supervisor.

  • Assist in the collection and dispatch of office mail and parcels.

  • Maintain high standards of personal hygiene and professional conduct at all times.

  • Perform any other basic administrative duties assigned by the immediate supervisor.

Qualifications & Requirements

  • Kenya Certificate of Secondary Education (KCSE) with a mean grade of D- Minus or equivalent.

  • A recognized Certificate in computer application skills from a reputable institution.

  • Ability to follow instructions clearly and work with minimal supervision.

  • Strong interpersonal skills and a professional approach to client service.

  • Physical fitness and a proactive attitude toward maintaining office cleanliness.

  • Basic knowledge of record-keeping and office organization.

  • Commitment to the values and principles of the Constitution of Kenya 2010.
