Job Summary
The Office Administrator / Messenger will be responsible for managing all office operations, from administrative tasks and record-keeping to handling all incoming and outgoing communication and deliveries. This dual role requires an individual who is highly organized, reliable, and capable of supporting both office and field-based tasks to ensure the firm's efficiency and professionalism.
Duties & Responsibilities
Manage all office operations, including filing, correspondence, and record-keeping.
Handle incoming and outgoing calls, emails, and other forms of communication professionally.
Organize and schedule meetings, appointments, and travel arrangements for staff.
Maintain an inventory of office supplies and equipment, ensuring timely restocking.
Support basic HR functions, such as tracking staff attendance and leave.
Prepare reports, memos, and other administrative documents as required.
Ensure the confidentiality of all office records and sensitive information.
Provide comprehensive support to management and staff in their daily administrative tasks.
Deliver and collect documents, parcels, and correspondence promptly and securely.
Run various office errands, including bank deposits and post office tasks.
Maintain a detailed logbook of all deliveries and collections.
Assist with photocopying, printing, and binding office documents.
Uphold the firm’s professional image while representing the office.
Support office staff with general errands when required.
Ensure timely and secure delivery of official items.
Qualifications & Requirements
A minimum of a High School Certificate. A Diploma in Business Administration or a related field is an added advantage.
Proven experience as an office administrator, clerk, or messenger.
Good communication and interpersonal skills.
The ability to organize tasks, prioritize workload, and meet deadlines effectively.
Basic computer skills, including proficiency in MS Word, Excel, Email, and Internet usage.
A high level of integrity and confidentiality.
Strong attention to detail and a proactive attitude.
Excellent time management skills.
