Job Summary
The Outpatient Facility Administrator will be the linchpin for the smooth and efficient running of the outpatient center. This role demands a proactive individual who can ensure excellent service delivery to patients and support to staff, while also driving business growth. The Administrator will lead and develop the team, fostering a patient-centric environment focused on quality and compliance.
Duties & Responsibilities
- Champion and cultivate a patient-centered care environment, consistently aiming for and achieving a patient satisfaction index above 90%.
- Lead and implement service leadership initiatives and drive continuous improvement in all aspects of customer care across the outpatient facility.
- Systematically collect, analyze, and act upon patient feedback, diligently resolving complaints through thorough root cause analysis and ensuring timely closure of action items.
- Act as a crucial liaison between patients, medical staff, specialists, and management to guarantee seamless communication and efficient service delivery.
- Collaborate closely with clinical leads to implement, monitor, and evaluate quality and process improvement policies and activities.
- Ensure strict compliance with all relevant clinical indicators, regulatory requirements, and accreditation standards, such as SAFECARE.
- Conduct thorough and regular audits and safety rounds, and maintain meticulously up-to-date documentation and referral listings.
- Actively champion and participate in quality improvement committees and initiatives to enhance service delivery.
- Provide strong leadership, effectively develop the skills of, and provide valuable mentorship to both clinical and non-clinical staff, fostering a culture of safety and continuous learning.
- Oversee the critical processes of onboarding and induction for all new hires; efficiently manage staff scheduling and leave requests to ensure adequate coverage.
- Conduct regular monthly staff meetings, diligently track learning hours for staff development, and ensure the implementation of effective performance management processes.
- Proactively promote teamwork, maintain high staff morale, and actively support the professional development of all team members.
- Take the lead in developing and executing the outpatient center’s business development strategy in close collaboration with the Franchisee and the Business Development Executive/Officer.
- Develop and diligently monitor marketing initiatives aimed at expanding the scope of services offered and achieving a significant increase in patient volume.
- Proactively identify and act upon opportunities for service diversification and overall service improvement within the outpatient setting.
- Ensure the effective and efficient utilization of all resources, including medical equipment and essential consumables, minimizing waste and maximizing value.
- Actively participate in inventory management processes, conduct regular stock takes, manage procurement activities, and oversee the proper maintenance of all facility assets.
- Direct and oversee all administrative functions, including meticulous documentation, ensuring strict compliance with regulations, and generating accurate and timely reporting.
Qualifications & Requirements
- Bachelor’s degree or Diploma in Healthcare Management, Business Administration, Public Health, Nursing, or a related field.
- At least three (3) years of progressive supervisory experience within a healthcare setting.
- Formal education in management principles.
- Prior demonstrable experience as a hospital administrator or facility administrator.
- Strong leadership, team management, and mentorship abilities.
- Proven expertise in customer service and patient relations.
- Proficient in financial management, budgeting, and basic accounting principles.
- Excellent organizational skills, time management skills, and administrative skills.
- Strong understanding of healthcare regulations, quality standards, and risk management frameworks.
