Job Summary

The Patient Services Coordinator will be the face of the Patient Services Department, providing front office administrative and customer care services. This role involves professionally handling inquiries, managing patient admissions, and accurately processing all daily financial transactions. The ideal candidate will be a multi-tasking and results-oriented professional with excellent people skills.


Duties & Responsibilities

  • Provide outstanding customer service to patients, the public, and AKU staff.

  • Address inquiries and complaints expeditiously and professionally.

  • Ensure full coverage at the front desk at all times and adhere to clock-in/out procedures.

  • Be aware of downtime and data protection protocols in the event of a system failure.

  • Maintain a manual invoice and receipt process during system malfunctions and update records upon system resumption.

  • Admit patients and collect inpatient (IP) deposits as per established guidelines.

  • Account for and balance all daily financial collections and deposit them to the main hospital's Automated Banking Machine.

  • Verify credit services for corporate employees and confirm their eligibility in the system.

  • Ensure pre-authorizations are completed by physicians and sent to corporations within 24 hours.

  • Liaise with the supervisor, manager, and insurance companies regarding uncertain case approvals.

  • Bill the correct patient for the right services and collect the accurate amount.

  • Verify that corporate employee benefits are billed according to existing entitlement guidelines.

  • Assist other patient services staff to ensure overall departmental efficiency.

  • Answer internal and external phone calls promptly and communicate messages accurately to concerned persons.

  • Re-confirm and update patient contact numbers and ensure realistic appointments are booked.

  • Escalate any challenges to the Duty Supervisor/Manager promptly for assistance.

  • Perform any other duties as may be assigned from time to time.


Qualifications & Requirements

  • A Diploma in Front Office Administration/Business Administration or an equivalent qualification.

  • At least 3 months of work experience from the hospitality industry.

  • Excellent customer service and people skills.

  • The ability to multi-task and a strong attention to detail.

  • Good communication and interpersonal skills.

  • Good problem-solving skills.

  • The ability to deal with the public in a professional and polite manner.

  • A culture-sensitive individual.

  • A good planner who is results-oriented.

  • High level of integrity.
