Job Summary
The Medical Appointment Scheduler will be responsible for coordinating complex, high-volume healthcare schedules, managing clinical coverage needs, and ensuring rapid, professional communication between North American medical clients, field caregivers, and internal operational teams. The role demands an agile multi-tasker who can handle sudden call-outs, route cancellations, and urgent client adjustments in real time.
Key Responsibilities
Schedule Coordination: Proactively build, manage, and optimize intricate schedules for homecare caregivers, clinical staff, and medical appointments.
Crisis Capacity Management: Efficiently handle last-minute schedule changes, patient cancellations, caregiver call-outs, and urgent immediate coverage requests.
Stakeholder Communication: Disseminate scheduling changes, adjustments, and route optimizations to patients and care teams in a highly articulate, prompt, and empathetic professional manner.
Data Management: Maintain flawless, real-time administrative logs and accuracy markers within specialized healthcare workforce management databases.
Conflict Resolution: Monitor daily schedule coverage metrics to proactively identify and resolve timing gaps, routing overlaps, or geographic scheduling conflicts.
Qualifications & Requirements
Bachelor’s Degree, Diploma, Certificate from a recognized tertiary education institution.
Mandatory Experience: Previous hands-on experience scheduling medical appointments, homecare rotations, nursing agency rosters, or related care-based scheduling matrixes.
Advanced English Proficiency (C1 level minimum) with exceptional verbal and written communication skills optimized for North American client interactions.
Advanced computer literacy with deep operational proficiency in Microsoft Excel, Outlook, and Teams.
Proven ability to multi-task under pressure, organize complex variables, and think critically in a fast-paced administrative setup.
Preferred Qualifications
Practical, hands-on experience utilizing WellSky or similar specialized clinical scheduling, electronic health record (EHR), or healthcare workforce management software.
