Job Summary

The Clerical Officer II is responsible for providing essential administrative support, ranging from financial record computation to human resource documentation. This role involves maintaining a highly organized filing system, processing official correspondence, and assisting in the preparation of payment vouchers. The successful candidate will ensure the smooth flow of information and clerical accuracy within the Tana River County Government departments.

Duties & Responsibilities

  • Compile and maintain detailed statistical records to support departmental decision-making and reporting.

  • Sort, file, and dispatch official letters and internal memos to ensure timely communication across offices.

  • Maintain an efficient and secure filing system for both physical and digital administrative documents.

  • Assist in processing human resource tasks, including appointments, promotions, and transfers.

  • Support the HR department in documenting disciplinary cases and related staff management duties.

  • Perform computation of financial records based on routine or special sources of information for accuracy.

  • Prepare payment vouchers and basic accounting documents in line with financial regulations.

  • Compile raw data and draft simple official letters or responses to inquiries.

  • Update and maintain staff records and attendance registers within the assigned department.

  • Verify the accuracy of data entered into the county’s administrative databases.

  • Handle basic office equipment such as scanners and photocopiers to support daily operations.

  • Facilitate the movement of files between different government offices in Hola.

  • Assist in the preparation of periodic administrative reports for the supervisor.

  • Provide professional customer service to citizens and visitors seeking information at the office.

  • Perform any other clerical or administrative duties assigned by the immediate supervisor.

Qualifications & Requirements

  • Kenya Certificate of Secondary Education (KCSE) with a mean grade of C- (Minus) or its equivalent.

  • Demonstrated proficiency in computer applications (MS Office Suite, etc.).

  • Strong organizational skills and the ability to maintain a systematic filing system.

  • Basic knowledge of Human Resource Management and financial record-keeping.

  • Excellent communication skills in both English and Kiswahili.

  • Ability to handle confidential information with a high degree of integrity.

  • Commitment to the values and principles of the Constitution of Kenya 2010.
