Job Summary

The Scheduler is responsible for the precise logistical management of caregiver and patient assignments within a high-pressure healthcare environment. This role ensures operational continuity by coordinating appointments, managing professional communications, and supporting essential HR and payroll functions. The successful candidate will act as a primary liaison between medical staff and clients to maintain the highest standards of care delivery.

Duties & Responsibilities

  • Coordinate and manage complex daily schedules for caregivers, clients, and patients to ensure no gaps in service.

  • Handle high-volume inbound and outbound professional calls to confirm, adjust, and optimize healthcare appointments.

  • Maintain constant, clear communication with field staff and management to ensure all service quality benchmarks are met.

  • Organize and manage interview schedules for new hires, including handling last-minute logistical changes.

  • Support the recruitment and hiring process by facilitating candidate orientations and basic administrative onboarding.

  • Verify employee timesheets and perform accurate data entry to support the payroll department.

  • Maintain up-to-date and highly accurate employee records in the company’s digital database.

  • Perform on-call coordination duties to handle staffing emergencies or schedule adjustments during off-peak hours.

  • Ensure all patient and caregiver data is handled with the highest degree of confidentiality and professionalism.

  • Liaise with North American clients to ensure staffing levels meet their specific home care requirements.

  • Troubleshoot scheduling conflicts immediately to prevent any interruption in patient care.

  • Prepare regular reports on staffing metrics and schedule fulfillment for senior leadership.

  • Utilize AI-powered tools to streamline the booking and confirmation process for medical appointments.

  • Provide administrative support for general office operations during the designated night shift hours.

  • Monitor caregiver attendance and proactively find replacements for any reported absences.

Qualifications & Requirements

  • Bachelor’s degree (BA/BSc) or Higher National Diploma (HND) or Diploma in a relevant field.

  • Minimum of 3 years of experience as a Scheduler, specifically within the Healthcare or Home Care sector.

  • Exceptional English proficiency (90% or higher) in both verbal and written communication.

  • Demonstrated ability to manage multiple priorities in a high-pressure, fast-paced environment.

  • Strong organizational skills and a meticulous attention to detail regarding data entry.

  • Proven ability to handle sensitive and confidential medical information.

  • A strong sense of urgency combined with empathy and professional ethics.

  • Proficiency in using modern scheduling software and basic computer applications.

  • Willingness to work the specified on-site night shift hours in Nairobi.
