Job Summary

The Customer Service & Intake Specialist serves as the primary point of contact for clients, managing both inbound and outbound professional communications. This role involves gathering critical insurance claim information, interpreting data to assign appropriate experts, and coordinating travel logistics for technical teams. The specialist ensures that all assignments are accurate, well-documented, and seamlessly integrated into the company’s CRM system to support daily engineering operations.

Duties & Responsibilities

  • Manage professional inbound and outbound calls and emails promptly and effectively.

  • Conduct detailed intake calls to gather critical claim and assignment information from clients.

  • Apply critical thinking to interpret information and resolve any inconsistencies in client-provided data.

  • Prepare accurate, well-documented assignments by evaluating property details and the scope of work.

  • Determine the most appropriate expert for assignments based on location and specific project requirements.

  • Accurately input and maintain project data within the company’s CRM system.

  • Relay complete and accurate information to engineers and technical teams to facilitate project commencement.

  • Follow up diligently with clients to obtain missing details or clarifications for incomplete files.

  • Review and establish project budgets while evaluating associated travel costs.

  • Coordinate complex travel arrangements for assigned personnel to ensure timely site visits.

  • Process and manage internal file changes to keep all project documentation current.

  • Provide general administrative support to ensure smooth daily operations for the business support team.

  • Adhere strictly to agreed-upon timelines, guidelines, and deliverables as outlined in the Statement of Work.

  • Maintain a customer-focused demeanor to provide an exceptional first point of contact for all clients.

  • Participate in team meetings and assist with ad hoc tasks to support broader company goals.

Qualifications & Requirements

  • Experience Level: Junior to Senior level with a background in customer service or call center roles.

  • Communication Skills: Neutral or minimal accent with clear, near-native spoken English.

  • Technical Proficiency: Strong skills in Microsoft Office Suite and experience using CRM systems.

  • Education: BA/BSc/HND or equivalent professional experience.

  • Administrative Skills: Exceptional data entry accuracy, attention to detail, and multitasking abilities.

  • Industry Knowledge: Preferred background in insurance, claims processing, or supporting engineering teams.

  • Availability: Must be able to work Monday–Friday, 8 am to 5 pm EST.

  • Personal Traits: Professional, detail-oriented, and able to work efficiently in a fast-paced environment.
